COMMERCIAL FILMING AND PHOTOGRAPHY SHOOTS IN THE KING LIBRARY POLICY

Statement of Policy & Text
The SJSU Office of Communications & Public Affairs and the SJPL Marketing Communications Director will review requests for filming or photography in the King Library. The University and the Public Library reserve the right to refuse requests based on the nature of the photography or film project and whether it is consistent with the missions of both organizations. This policy does not apply to student projects or to credentialed members of the media who are working through SJSU Communications or SJPL Marketing Communications to videotape or take photographs in conjunction with news or feature stories.

For approved projects, a fee of $2,000 per day and $1,000 per half day is charged. Additional charges may be negotiated depending on the complexity or length of the project. The fee may be waived at the discretion of the Library Co-Managers. Fees received for film shoots or photography at the King Library will be split 41percent for the City and 59 percent for the University based on the costsharing agreement in the Operating Agreement.

Need for the Policy
This policy ensures there is only one set of requirements for filming and photography shoots occurring in the King Library.

Requirements & Guidelines
Requests for filming or photography shoots in the King Library are forwarded to either the SJSU Communications & Public Affairs Office or the SJPL Marketing Communications Director. The recipient will inform the other party of the request and determine who will coordinate the request.

Due to Homeland Security issues, photographers taking photos in the library will be contacted for identification by library security to determine the nature of the photography.

Staff in the Library that will be impacted by the filming or photography shoot will be notified in advance for their input.

Before the project can proceed, the outside vendor must sign a Facility Use Agreement outlining the terms and conditions for the project. The Use Agreement is reviewed and signed by University Procurement Services and the City Manager’s designee.

The vendor must also obtain a certificate of insurance from its insurance company, which, for the duration of the project, lists the following as additionally insured: the State of California, the Trustees of the California State University, San José State University, the City of San José, their officers, agents and employees. These documents must be complete and on file in SJSU Communications & Public Affairs and the City’s Risk Management Office before the project begins.

All vendor fees must be paid prior to commencement of the project.
